King’s College Hospital NHS Foundation Trust has embarked on a multi-phase digital transformation to modernise its estates and facilities management systems replacing legacy platforms and unifying its data landscape to support compliance, reporting, and operational excellence.
Previously reliant on a fragmented mix of systems for CAFM, space utilisation, and risk assessments, the Trust sought a more integrated approach to align with its strategic goals and the wider NHS digital transformation agenda.
Outdated systems were holding back our estates and facilities management. We wanted a single, modern platform that is open and connected and can be integrated with the other technology solutions we use to enable us to have better visibility and control that will set us up for long-term success.

Partnering for impact; a strategic collaboration with MRI Software
King’s College selected MRI Software as its technology partner to deliver a modern, scalable platform that supports every aspect of estate operations; from helpdesk management and space planning to lease compliance and reporting.
The Trust’s phased journey reflects a strategic roadmap to unify systems, automate processes, and future-proof its estates strategy:
Phase 1 involved the replacement of legacy systems with MRI’s facilities and space management solutions, creating a single ecosystem. This solution:
- Delivered a modern, integrated helpdesk
- Improved data accuracy and reporting
- Addressed user dissatisfaction with previous tools
- Enabled synchronised CAFM and space data
The Trust then extended its digital estate with MRI’s lease management and AI-powered contract intelligence solution, with an objective of:
- Automating IFRS 16 compliance and reporting
- Reducing external legal spend by up to £30,000 annually
- Cutting audit preparation time by over 100 hours per year
- Enabling faster responses to landlord and lease queries
As the Trust looks ahead, plans are in place to deploy MRI’s AI-reporting and energy management solutions to support Integrated Care Board (ICB) alignment and sustainability reporting across the NHS network.
For King’s College, this is more than a system upgrade, it’s about building a connected digital ecosystem that supports the Trust’s strategic goals and our partnership with MRI Software enables that vision.

Efficiency, compliance and data integrity in action
By consolidating multiple systems into a single, cloud-based MRI platform, King’s College has gained:
- Efficiency & Cost Savings – streamlined processes and reduced duplication resulting in significant cost savings
- Compliance & Governance – full audit traceability and IFRS 16 adherence
- Data Integrity – a single source of truth across estates data and efficiencies achieved with up to 90% of required data fields now automated
- ICB Alignment – standardised reporting across the wider care system
- Scalability – a platform that grows with the Trust’s ambitions
King’s College Hospital NHS Foundation Trust exemplifies the forward-thinking approach we’re seeing across the NHS; embracing modern, connected solutions to drive operational excellence. We’re proud to support their journey and long-term digital transformation strategy.

A platform that grows with the Trust’s vision
With MRI Software’s solutions underpinning its estates operations, King’s College is well positioned to deliver against its ICB objectives, sustainability commitments, and NHS digital transformation goals.
The Trust views MRI as a long-term strategic partner, with plans to expand its use of the MRI platform to enable greater automation, reporting accuracy, and cross-system collaboration.
The transition from the Trust’s legacy CAFM system and others didn’t come without its challenges. However, the support of the MRI team was positive and flexible throughout and continues post transition. Their patience and ability to respond with well thought out solutions made the whole process much easier, instilling confidence throughout the whole team.
