Keeping cool under pressure: What the recent heatwave teaches us about the future of workplace facilities management

The recent heatwave across many parts of the world – including the UK, Europe, and New York – offered a sharp reminder that extreme weather is no longer an occasional inconvenience for facilities teams. It is fast becoming part of the operating environment.

As temperatures climbed, the impact was felt well beyond beaches, parks and retail destinations. Schools closed or were forced to adjust timetables, transport networks introduced disruption warnings and speed restrictions, and workplaces across the country had to think quickly about how to keep people safe, comfortable and productive.

For office-based organisations, this is increasingly where the challenge lies. Extreme heat does not always stop work altogether, but it can make the workplace harder to manage. Occupancy becomes less predictable. Cooling systems come under pressure. Energy use rises. Employees expect comfort, flexibility and reassurance while facilities teams are left trying to balance all of this in real time.

That balance is not easy, particularly in offices that were never designed for the weather patterns now becoming more common.

The workplace has changed…and so has the weather

Facilities teams have always planned for seasonal peaks. Summer cooling, winter heating, holiday occupancy and after-hours demand are familiar parts of the facilities calendar but in recent years, two things have changed.

Firstly, the weather is becoming more volatile with periods of extreme heat arriving earlier, lasting longer and placing greater strain on buildings and infrastructure. During the recent heatwave, reports pointed to schools, hospitals and transport networks all struggling to cope, underlining how quickly high temperatures can move from discomfort to disruption.

Second, office occupancy is much harder to predict. Hybrid working means buildings are no longer consistently full from Monday to Friday; a floor may be busy on a Tuesday, quiet on a Friday and unexpectedly full for a company event or client meeting at various points in the week. Yet many buildings are still operating on broad assumptions and fixed schedules.

This means that cooling an entire building as though every space is fully occupied can quickly become expensive. Failing to cool the right areas at the right time can affect comfort, experience and productivity. The opportunity for facilities teams is to move from blanket building management to a more responsive, demand-led approach.

Heatwaves expose the gaps in building intelligence

Extreme heat has a way of revealing what is really going on inside a building. It highlights which meeting rooms overheat first, shows which floors are overcooled despite low usage, exposes HVAC assets that are working harder than they should, and brings recurring comfort complaints to the surface. Often, it can reveal where facilities teams lack the data they need to make fast, confident decisions.

That does not mean every organisation needs a fully sensor-enabled smart building before it can act. Intelligence can come from many sources: access control data, desk and room bookings, visitor management systems, Wi-Fi connections, maintenance requests, utility usage, cleaning patterns and employee feedback, as well as IoT hubs. The original cooling guidance makes this point clearly: even simple tracking can generate useful operational data when it is combined and interpreted properly.

The value is derived from turning this data into practical decisions. If occupancy is low on one side of the building, cooling can be adjusted without compromising comfort elsewhere. If a large meeting is booked on a hot afternoon, the room can be prepared in advance rather than waiting for complaints. If asset performance starts to dip during peak demand, maintenance teams can act before a failure affects the wider workplace.

That is where intelligent facilities management and smart buildings begins to make a real difference.

Comfort, cost and carbon are now connected

For many organisations, office heat management sits at the intersection of three pressures: employee experience, operating cost and sustainability. People expect a workplace that supports their wellbeing. That expectation becomes even sharper during periods of extreme weather, particularly when travel is disrupted or employees are choosing between working from home and coming into the office.

At the same time, cooling is one of the largest controllable energy loads in many buildings. Proactive cooling optimisation can reduce unnecessary runtime, peak demand, after-hours cooling and wear and tear on equipment.

This is where facilities teams are being asked to achieve what can feel like competing goals: keep people comfortable, reduce waste, protect assets and support carbon reduction.

For example, if one floor has a history of overheating during the afternoon sun, facilities teams can prepare before the next heatwave arrives. If a particular asset is repeatedly linked to comfort complaints, it can be reviewed as part of planned maintenance rather than treated as an isolated issue. If Friday occupancy drops significantly in August, cooling schedules can be adjusted accordingly.

Managing offices means managing expectations

During a heatwave, employees want to know that the workplace is being managed with their comfort and safety in mind. Facilities teams may be making sensible, targeted adjustments, but if those changes are not communicated, they can easily be misunderstood.

This is especially important where organisations are trying to reduce energy consumption. Employees are often supportive of sustainability goals, but not if they feel those goals are being achieved at their expense.

Clear communication helps bridge that gap. It explains why certain spaces are prioritised, how comfort levels are being monitored, and what employees should do if they experience an issue. It also reinforces that decisions are being made based on real building conditions, not guesswork.

The office as part of a resilience strategy

Workplaces are part of an organisation’s resilience strategy. If they cannot operate effectively during extreme heat, that affects productivity, employee experience, customer service and business continuity.

The recent heatwave showed how quickly weather can disrupt normal routines. Transport warnings alone can affect attendance patterns, meeting schedules and workplace demand. For facilities teams, that means resilience is not just about the building fabric or the HVAC plant. It is about understanding how people use the workplace when conditions change.

An intelligent facilities management approach helps connect those dots. It gives teams the visibility to understand the relationship between weather, occupancy, energy and asset performance and supports faster decisions in the moment and better planning over time.

Learning from this heatwave before the next one arrives

The most valuable action facilities management teams can take now is to treat the recent heatwave as a live stress test.

  • Which spaces struggled most?
  • Where did comfort complaints come from?
  • Which systems were under the greatest pressure?
  • How did occupancy change when transport was disrupted?
  • Were cooling schedules aligned with actual workplace usage?
  • Did employees know how to raise issues quickly?

The answers to these questions should not sit in inboxes or isolated maintenance logs. They should inform future operating plans, investment decisions and workplace strategies because the next heatwave should not feel like starting from scratch.

A more intelligent way to keep workplaces running

Facilities management has always been about keeping buildings operational. More now than ever, it is more about keeping organisations adaptable.

As extreme weather becomes more frequent, facilities teams will play a bigger role in helping workplaces respond through data, reduce energy waste without compromising comfort, and protect business continuity while supporting employee wellbeing.

The organisations that do this well will not necessarily be the ones with the newest buildings but will be the ones with the clearest understanding of how their buildings are used, how their systems perform and where action is needed most.

In a heatwave, that intelligence can be the difference between a workplace that simply copes and one that continues to perform.
